How it goes.
Right after the engagement comes the question: where is everyone staying? We set up the rooms before the save-the-dates go out, so the card can carry a link.
Timing first. Rooms for a wedding weekend are best set up nine to twelve months out, before save-the-dates, so guests can book the day the card arrives. Wedding guests book late, often in the last month, so we ask the hotel to hold the rooms as close to the date as it will.
Guests book their own rooms on one link and pay for them themselves, so nobody is collecting credit cards. How the rooms are held depends on the guest list and the hotel, and we go through the terms with you before anything is booked. Sometimes a second hotel nearby is a better answer than more rooms at the first.
We also ask the hotel for the things hotels give weddings: a night for the couple, a space for welcome drinks, late checkout on the Sunday. Asked for, not promised, and we tell you what came back.
Then the weekend. A shuttle or a couple of drivers between the hotel and the venue, so nobody drives home from the reception. The rehearsal dinner table. A plan for the guests flying in from far away.
What we don't do: plan the wedding, choose the venue or hire the florist. That's your planner. The rooms and the travel are the part planners usually leave to someone else, and that's ours.
