Groups · Summit or offsite
The offsite, with the rooms, the meeting room and the dinners handled, and the CEO none the wiser.
Fifteen people, one agenda, one executive assistant who has a real job as well. We handle the travel end so the agenda is the only thing left.
What's handled.
In the order it matters for this trip.
- A lodge, a villa or a hotel with the meeting space and the AV actually confirmed, not assumed
- Rooms sized to the headcount, with the two people who always drop out planned for
- Flights for the team if you want them in one place, or the itinerary built around the ones people book themselves
- Vans or drivers between the airport, the hotel and the dinners
- The dinners: one that's the point, one that's optional, and a private room for the one that matters
- A one-page summary with the plan, the cost and the reasons, for whoever has to approve it
- One itinerary on every phone, and a thread with us during the week
Who's usually organising
The EA, the chief of staff, or the founder who hasn't delegated it yet.
Where these go
A lodge in the mountains, a ranch, a coastal house, a city hotel with a proper boardroom, or wherever the team can actually get to on a Tuesday.
The one thing to know
Ask about the company's travel policy and preferred brands before we source. It speeds approval more than anything else we can do.
What it costs
The house, the rooms and most bookings are paid by the suppliers, so they cost nothing extra to book through us. Planning the whole trip starts at $250 and depends on how many moving parts it has. The exact fee is in your quote.
Questions.
Who signs the hotel contract?
It depends on the size of the group and the hotel. We go through the terms with you before anyone signs anything.
Can you do this every year?
That's the idea. Same person, same standards, and the second one is easier because we know what worked.
What does it cost?
Rooms and most bookings are paid by the suppliers. Running the week is a planning fee, quoted up front, and for larger programmes we can quote it as a percentage instead. Nothing is booked until it's approved.
