Events · Team reward trips
The trip for the top producers.
Notched Travel Co. plans reward trips for small teams of three to eight couples: rooms on the company card, flights once the winners are named, and the awards dinner.
Last checked 22 September 2026.
- Rooms held under the company, names sent when the winners are in.
- Flights booked once the list is final.
- The awards dinner, and the days around it.
- One invoice, one itinerary on every phone.
How it goes.
You announce the trip in January to give the team something to chase, and find out who's going in the spring. Three to eight couples, one company card, and a dinner where you say a few words.
You know the dates months ahead and the names at the very end. So we hold the rooms early under the company and send the hotel the names once the winners are in. We go through the hotel's terms with you before anything is held, which matters when you don't know yet whether it's four couples or seven.
Flights wait for the names. Each couple flies from home on its own route, so these are individual tickets, and an airline ticket usually can't be moved to another person. We price the routes early, tell you what the fares are doing, and book once the list is final.
Then the part the team remembers. One dinner that's the reason for the trip, in a private room, with your words at the end of it. One afternoon everyone does together. The rest left open, with a car on call. A note in each room when they arrive. We'd rather do four things well than fill every hour.
What you get from us first is a proposal: two or three places side by side, the one we'd pick and why, the shape of the days, and a table of exactly what you pay and to whom. Each option says when you need to decide and whether the hotel is holding space in the meantime.
Where it works.
Somewhere they wouldn't book for themselves. A beach week in the Florida panhandle or Kiawah, a golf trip to Pinehurst, a long weekend in Charleston or New Orleans, Las Vegas if the team would rather have the shows, or Italy for the year the numbers were very good.
Questions.
We don't know how many will qualify. Is that a problem?
No. We hold what you think you'll need and adjust as the numbers come in, inside each hotel's own terms, which we go through with you first.
Can the company pay for everything on one card?
Yes. That's the usual way. Guests can put their own extras on their own card at check-in.
Is the trip taxable for the people who win it?
Often, yes. That's a question for your accountant, and it's worth asking before you announce the trip.
What if the team grows?
Tell us as it changes. We'll go through what it means for the rooms before anything changes on the booking.
We already have corporate rates with the big hotel chains. Do we need this?
For one person on a Tuesday, probably not. Corporate rates are built for individual trips. They can be closed out on the busy weeks and they don't cover the things a group needs, like rooms on the same floor or a private room for dinner. We'll check your corporate rate against what we can get and tell you which is better.
We can't set up new vendors.
The room reservations are with the hotel, not with us. The one invoice from us is the planning fee. If that's the hurdle, tell us and we'll work out what your accounts team needs.
We have booking tools. Isn't that enough?
Tools find a rate. What matters on a group is in the hotel's terms, and we go through those with you before anyone books.
What does it cost?
Hotels are free to book through us. Planning a reward trip starts at $250, and the exact fee is in your quote.
